Daily Operations Checklist
Inventory & Stock Sync
Pull current on-hand from Shopify, Amazon, eBay, and Walmart into the OMS (Cin7, Linnworks, or Sellercloud) and confirm last night's sync ran without errors. Cross-channel overselling is the most common Day-1 failure — a SKU sells out on Shopify while still showing in stock on Amazon, triggering a cancellation and an ODR hit.
Compare days-of-supply against lead time for every SKU at or below its reorder point. Flag anything under 30 days for a PO and pull the seasonal forecast for Q4-sensitive items. CNY factory shutdowns and ocean transit overruns are the usual reasons a Q4 stockout slips through.
Open the FBA inbound shipment dashboard and compare units shipped to units received for any shipment checked in within the last 24 hours. Note shorts, damages, and unfulfillable units. The reconciliation window is 30 days from check-in — after that, Amazon will not process a reimbursement claim.
Open a Seller Central case with the carrier BOL, packing list, and shipment-creation screenshot attached. Lost-shipment and damaged-in-FC claims use different templates — pick the one matching the discrepancy. Track the case ID; escalate if Amazon hasn't responded within 14 days.
Order Processing & Fulfillment
Confirm orders pulled from every sales channel — Shopify, Amazon FBM, eBay, Walmart. Spot-check a few against the source platform; sync gaps that quietly drop orders show up later as missed-ship-date account-health hits on Amazon.
Watch for AVS/CVV mismatches, billing-vs-shipping country mismatches, expedited shipping on a first-time buyer, gift cards or high-value SKUs going to a freight forwarder. Stripe Radar and Shopify's risk score catch the obvious cases — flag anything else for manual review.
For each flagged order, verify the customer by phone or email before printing the label. Document the decision (approve, cancel, or hold) on the order record. Fraudulent orders released today turn into chargebacks in 60-90 days, when the margin is already booked and the win rate on disputes is low.
Print pick lists and run the wave; pack per each SKU's prep requirements (poly bag, bubble wrap, sold-as-set labeling). Stage by carrier — UPS, FedEx, USPS — for scheduled pickup, and obtain a signed manifest from each driver as proof of handoff.
Tracking must post to Amazon within the promised ship-by date or Valid Tracking Rate (VTR) drops below the 95% threshold. Confirm carriers returned tracking and that the OMS pushed it back to each marketplace before close of business.
Customer Service Triage
Sort the queue by oldest open ticket and apply tags — shipping, returns, product question, complaint. Aim for first-response within 4 hours on email and 60 seconds on chat. Macros handle the top 5 question types; everything else goes to a human.
Approve in-policy return requests, issue prepaid labels, and queue refunds for processing on warehouse receipt. Loop flags repeat-returner patterns — enforce abuse policies consistently or the cost shows up in margin within a quarter.
Respond within 24 hours to maintain Amazon's response-time metric. Do not request reviews via Buyer-Seller Messaging beyond what Amazon's built-in 'Request a Review' button allows — off-platform incentivized requests violate Amazon's communication guidelines and trigger account warnings.
Scan new 1-3 star reviews across Shopify, Amazon, and Trustpilot. Tag by issue type (sizing, quality, shipping, expectation mismatch) and route to product or operations. Three reviews flagging the same defect is a quality signal worth pulling the SKU until investigated.
Site Health & Conversion
Pull last night's uptime from the Shopify status dashboard and review Core Web Vitals (LCP, INP, CLS) in Search Console or PageSpeed Insights. A theme update or new app installation often degrades Vitals overnight; conversion follows within days if it goes uncaught.
Add a low-priced product to cart and complete checkout (refund the test order) on iOS Safari, Android Chrome, and desktop. A CSS or app conflict that breaks the payment step on mobile can sit unnoticed for a week if nobody tests it daily — and mobile is where most of the revenue is.
Check the top 10 SKUs by yesterday's revenue: confirm price, sale tags, image carousel, inventory display, and add-to-cart all render correctly. Stale or broken hero images are a common artifact of a marketing campaign rollover.
Marketing & Growth Pulse
Pull yesterday's ad spend and revenue from Triple Whale or Northbeam by channel — Amazon Ads, Meta, Google, TikTok. Note any channel where ROAS dropped below break-even or where TACOS climbed. Capture the day's headline number and any anomaly worth investigating in the notes.
Daily budgets that exhaust by 10am leave peak-hour demand to competitors. Review pacing in Pacvue or directly in each platform — raise caps on overperformers, trim the losers. Dayparting on Amazon helps if traffic concentrates outside business hours.
Confirm posts queued in Later or Buffer published as planned across Instagram, TikTok, and Pinterest. Any post with a paid placement or affiliate context must include the FTC-required #ad or 'paid partnership' disclosure — non-disclosed posts are a brand liability under the FTC Endorsement Guides.
Confirm contracted creators delivered yesterday's content and that the brief was followed. Track placements in GRIN or Refersion. Missing FTC disclosures must be corrected within 24 hours — the brand is liable, not just the creator.
